Overview
Wowflow is an innovative software and mobile app solution designed specifically for facility management teams. It aims to simplify the often complex and time-consuming processes associated with documentation and task coordination.

By offering a streamlined platform, Wowflow enhances efficiency, reduces manual effort, and ensures seamless communication among team members.

Problems
Upon starting as the UX designer for Wowflow, I identified several significant challenges faced by our users:

Lack of a Comprehensive Dashboard: Field workers lacked a dashboard or home screen that clearly indicated what tasks needed to be done, when they were due, and where they needed to be completed. This led to overlooked tasks and inefficiencies in task management.

Inefficient Task Navigation: Users struggled to find tasks within the same workspace, which hampered their productivity and coordination.
​

Cumbersome Interaction with the App: Field workers often wore gloves, making it difficult to navigate the app and perform necessary actions efficiently.
​
These issues were identified through user interviews and feedback sessions, highlighting the need for a more intuitive and efficient interface to support the users' daily operations.

Solution
To address these problems, I designed a comprehensive home screen for Wowflow with the following key features:

Prioritized Task Display:
The home screen now prioritizes tasks based on their deadlines:
​

Overdue tasks are shown first.
-
Tasks due today come next.
-
Tasks that need acceptance follow.
-
Tasks due within the next 7 days and 1 month are displayed last.
​
​
This prioritization helps users quickly identify and focus on the most urgent tasks.
​

Workspace Awareness:
Tasks within the same workspace are highlighted to improve efficiency. For example, if a user is viewing a task due today but has another task in the same workspace due tomorrow, the system provides a hint to ensure they are aware of all relevant tasks.​

Photo Documentation Requirement: An "Add Photo" button was introduced, allowing facility managers to require photo documentation for certain tasks

​Minimized Taps for Field Workers: Recognizing that field workers often wear gloves, I relocated action buttons to the home screen. This change reduces the need to open tasks to perform actions, making the app more user-friendly.
Research
To gain a deep understanding of the users' needs and challenges, we conducted several research activities:

User Interviews: Engaging with field workers and facility managers to gather insights into their daily workflows and pain points.

Surveys: Collecting quantitative data on the frequency and types of issues faced.
​​

Usability Testing: Observing users as they interacted with the current version of Wowflow to identify specific areas for improvement.
Challenges
Throughout the project, we encountered several challenges:

Balancing Simplicity and Functionality: Ensuring the home screen was simple enough for quick navigation while providing all necessary information.

Technical Constraints: Working within the technical limitations of the existing system to implement new features.

User Adaptation: Encouraging users to adopt the new system and change their established workflows.
These challenges were addressed through iterative design, continuous user feedback, and close collaboration with the development team.

The implementation of the new home screen for Wowflow yielded significant improvements:
